Accessing your university email and calendar

In 2022, the University recommended staff and students use Microsoft Outlook to access their university email and calendar, via the Outlook app, Outlook on the web, or the MySolent app if you are a student.

However, the University is aware that some staff and students are still using Apple Mail or Apple Calendar.

As part of an upcoming change to Microsoft infrastructure, Apple Mail and Apple Calendar will no longer connect to university email and calendars after Monday 28 September 2026.

If you use Apple Mail or Apple Calendar, you must move to Outlook before Monday 28 September 2026.

After this date, Apple Mail and Apple Calendar will no longer send, receive or synchronise university email or calendar updates. University data that has already been downloaded to these apps will remain on the device, but it will no longer be updated. Older versions of Microsoft Office and Teams may also be affected.

What do you need to do?

Use Outlook on your devices, or alternatively the MySolent app if you are a student. If you do not already use one of these options, install an app or open your email using a link below:

  • Download Microsoft Outlook for iOS or Android
  • Open Outlook on the web
  • Download the MySolent app (for students)

Then:

  • Check that you can access your university email through Outlook on the web or a mobile app. Sign in with your university account and complete multi-factor authentication if prompted.
  • Remove your university account from other email apps, such as Apple Mail.
  • Check you are using the latest version of Microsoft Office or Teams.

Why is this happening?

This change is needed because Microsoft is switching off Exchange Web Services (EWS), a legacy connection method. Apple Mail and Apple Calendar use EWS to connect to university mailboxes, so they will stop syncing after access is removed.

Some versions of Microsoft Office and Teams may also be affected if they have not been kept up to date. Microsoft advises using Microsoft 365 Apps version 2602, build 16.0.19725.20320 or later, and updating Teams to the latest available version.

Using Outlook and current Microsoft apps ensures university email and calendar data remains accessible through supported applications with the appropriate Microsoft 365 security controls.
