Withdrawing from your course

We hope that you have a positive and fulfilling time at University, but we understand that sometimes things happen which mean you are unable to continue on your course. This page will give you all the information you need to be able to make an informed decision.

What does withdrawing mean and where can I get support?

Withdrawing is a final decision, so should be carefully considered. Once your withdrawal is processed, you will no longer be an active student. Should you wish to return to the university, you would need to reapply through the standard admissions process.

If there are personal reasons which are influencing your decision, you can speak to one of our student advisers in the Student Hub who can provide advice and guidance, signpost you to support, or help you talk through your options. We also strongly advise that you speak to your course leader or module leader before making the decision to withdraw.

If you are considering withdrawing due to a disability or long-term condition that you feel you need extra support with, please contact our disability advice team, who can advise you on what additional help and support the University can provide and your options and eligibility for DSA.

Our careers team are also on hand to discuss your next steps with you – whether that is going into employment or looking at alternative study or training options. All former students have life-long access to the careers service, including Solent Careers Online - you will simply need to register as a graduate.

Please note:

  • If you are a Warsash cadet, please contact your training manager, and the cadet liaison officer at warsash.operations@solent.ac.uk.
  • If you are a PhD student, please speak to your supervisor or contact researchsupport@solent.ac.uk.
  • If you are an apprentice, please speak to your employer, and contact apprenticeships@solent.ac.uk.
  • If you are a student studying at one of our partners (such as QAHE), please contact your local support team.

What are the alternative options?

Suspending your studies

Suspending your studies is sometimes a good alternative option, if you are unable to engage with your studies at the moment. It allows you to take some time out and return the following academic year (dates will depend on your course level, delivery and structure, as well as the date that you suspend). This may be due to health or personal reasons and can allow you some time to get support in place and return when you are able to commit to your studies again. You can still access all our student support services when you are suspended. Please see more information here.

Course transfer

You may also wish to consider transferring course if you want to study another subject area. Whether you can transfer immediately or not depends on the time of year, your current course, and the course you wish to transfer to. If you are unable to transfer during your current academic year, you will either need to continue to engage with your studies for the remainder of the year and then transfer at the end, or suspend your studies and arrange your transfer ready for when you return at the start of the next academic year. If you wish to transfer, you should:

  • Speak to both your current course leader and your new course leader to get confirmation that they can accept you onto the new course (the new course leader may want to talk to you in person or see a portfolio or a grade transcript before making a decision).
  • Speak to the Student Hub to discuss timeframes and more details about the process.
  • If you are an international student on a visa, you will need to seek advice as there will be sponsorship and visa implications
  • Speak to the funding team about implications to your loan entitlement.
  • Once you have made your decision, submit a transfer request on Gateway. If you have any trouble with this, an adviser in the Student Hub will be able to support you.

If you wish to transfer to another university, you will have to withdraw from your studies with us first and then apply to the other university. We can provide a transcript of your grades to support you with this process.

What are the implications of withdrawing?

Depending on the point of withdrawal, it is likely that you will be liable for a portion of your tuition fees, and/or no refund entitlement for any deposits or regulatory payments; this varies depending on your course, your student status, and the point at which you withdraw, and will be detailed in your terms and conditions (based on year of entry).

If you are in receipt of a tuition fee loan from Government Student Finance, we will notify them of your withdrawal, and tell them the amount of fees we are charging you, and they will pay that directly to us. If you are a self-funding or a sponsored student, the income team will contact you to let you know what fees are owed.

If you receive a maintenance loan from Government Student Finance, you will cease to be entitled to the loan from the date that you withdraw. This will mean that:

  • you won’t receive any further instalments of maintenance loan payments,
  • you may have an overpayment which will need repaying depending on the date of your withdrawal,
  • Normally, the year you were studying will be classed as ‘one year’ for student finance purposes depending on your withdrawal date, which may impact your eligibility for future funding if you choose to return to university. You can apply for compelling personal reasons (CPR) if you are withdrawing on health or personal grounds which you can evidence, and request an additional year of funding entitlement. You can contact our student funding team for further advice.
  • If you receive an NHS bursary, these payments will also stop at the point of withdrawal. Please email salts@solent.ac.uk to advise of your withdrawal.
  • If you choose to return to University at a later point, you will be classed as a new student and will be assessed under any new regulations. As mentioned above, be aware that you will be assessed as having already utilised some of your student support entitlement which could affect the level of support you receive in the future.

After you have withdrawn, you may be entitled to apply for state benefits.

Please also read our useful leaflets.

If you are an international student on a student visa, withdrawing from your studies has implications for your visa. Upon your withdrawal being processed, we will notify the Home Office and your visa will be curtailed. This means that you may need to leave the country within a certain period. Please ensure you seek advice before making the decision to withdraw by contacting internationalsupport@solent.ac.uk.

If you are in University-owned residences, you must notify them in writing that you are withdrawing by emailing accommodation@solent.ac.uk. Upon your written notification of withdrawal, your four-week notice period will be calculated, and you will need to vacate your room and return your fob by the end of this notice period. You will find the ‘early release from contract guidance’ here.

If you are in private student halls, you will usually be required to leave if you are no longer a student. We advise that you check your tenancy agreement and contact your provider to discuss what this means for your tenancy.

If you are in private housing, you will usually not be required to leave if you are no longer a student, as your tenancy is likely not linked to your student status. We advise that you check your tenancy agreement and contact your landlord/letting agency to discuss what this means for your tenancy. However, this could mean that you will continue to be tied into that contract and expected to pay rent – this should be considered within the wider implications of your financial situation. You can speak to our private housing adviser for further advice on whether there are any options to break or sell your contract: private.housing@solent.ac.uk.

If you are on a student visa and are unable to remain in the UK, you will need to discuss the implications for your tenancy with your letting agency/landlord .

Please note that if you withdraw and are no longer a full-time student, you will be liable for Council Tax, so we would strongly advise getting in touch with the Council in which you live for advice and to notify them of your status change.

  • Upon withdrawing, access to your IT accounts including email, Adobe, OneDrive linked to a University email, Gateway and SOL, etc will be closed with immediate effect. Please ensure any important emails or documents are saved, downloaded or forwarded. We cannot reopen accounts after they have been closed.
  • You will no longer be able to access student support services once you are withdrawn (with the exception of the careers service who can support you for life).
  • Your student ID card will be deactivated upon withdrawal, including any campus access.
  • All library books and laptop loans must be returned – a charge for any unreturned items will be pursued.

I’ve made my decision – what do I need to do now?

In order to ensure you have received the correct advice, and understood the implications, our student advisers submit the withdrawal request on your behalf – you are unable to self-withdraw via Gateway. We therefore strongly advise that you contact us by:

  • Visiting the Student Hub in TS114 (back of The Spark Atrium); or
  • Calling us on 023 8201 5200; or
  • Booking a phone appointment

If you are unable to attend the Student Hub or talk to an adviser on the phone, please email the Hub at student.hub@solent.ac.uk so we can discuss alternative options

Please note, if you do not take any action, you will continue to be an active student, be liable for fees, and be expected to engage with your studies in line with our student engagement and attendance policy

Awards and transcripts

If you are entitled to an award at the point of withdrawing, this will be ratified at the next available Progression and Award Board (PAB) and issued within two months of results publication. Any certificates will be posted to your correspondence address held on record, so please check this is correct before you withdraw.

You may wish to generate a transcript of your results from the Gateway system prior to withdrawing; after this point you will need to email assessments@solent.ac.uk (attaching a photo ID so they can verify your identity).
